Who is responsible for your information?

Katy Ellison, trading as Glow with Tropic, is responsible for the personal information collected through this website. You can contact Katy at Katyglowwithtropic@gmail.com.

What is collected

The form may collect your name, email address, mobile number, country, preferred contact method, skin type, skincare concerns, marketing choices and information about where the enquiry came from. This includes event/source and UTM campaign labels supplied in the link, the page address without its query string, a submission reference, consent wording/version and a timestamp. We do not collect a full browsing history or your device user-agent in the form. Hosting providers may process connection data such as IP addresses for security.

Why it is collected

Your contact details are used to respond to your enquiry, arrange or provide a personal skincare consultation and maintain an appropriate customer relationship record.

Information about your skin may reveal health-related information in some circumstances. That information is only used for the skincare consultation where you have explicitly consented to that use.

We use your consent as the lawful basis for this consultation and its contact details (UK GDPR Article 6(1)(a)), and your explicit consent for skin information that reveals health information (Article 9(2)(a)). Email and WhatsApp marketing each require their own optional consent. Leaving a marketing box unticked sets that channel to “No” for the email address supplied, including when you submit again. You can withdraw any consent at any time by emailing Katy; withdrawal does not affect earlier lawful use.

Where the information is stored

Form submissions are stored in a private Google Sheet/Drive environment used by Katy for customer relationship management. The CRM is private and access is limited to Katy and anyone she specifically authorises to support the business. Cloudflare hosts this website and handles its secure submission connection; Google Apps Script transfers submissions into Google Sheets. These providers may process data internationally under their applicable data protection terms and safeguards. If you choose WhatsApp, Katy uses that service to reply; its own privacy terms also apply. Your skin information is not used to target advertising or sent to Tropic through this form.

How long it is kept

Customer and enquiry records are normally kept for up to 24 months after the last meaningful interaction, unless they are needed for longer for legal, accounting or dispute-resolution purposes. Minimal information may be retained where necessary to honour an opt-out request.

Your choices and rights

You can ask to access, correct or delete your information, restrict processing, receive a portable copy where applicable, object to certain uses, or withdraw consent where consent is being relied on. Skin details are optional. You can contact Katy directly for a general enquiry without completing a skin profile. No automated decisions with legal or similarly significant effects are made by this form. Contact Katyglowwithtropic@gmail.com to make a request.

Cookies and tracking

This site adds no analytics, advertising pixels or tracking cookies. Event and campaign labels are collected only with the form submission. Form answers stay in the page memory until you submit; they are not stored in your browser’s local storage.

If you choose to visit or buy through Katy’s Tropic ambassador shop, that website is operated separately and Tropic’s own privacy terms apply to information collected there.
